Cancellation Policy

Healing Souls LLC Individual Wellness Coaching Services Policy Effective Date: 12/2024 Purpose This policy outlines the scope, expectations, and procedures for Individual Wellness Coaching Services provided by Healing Souls LLC. Our wellness coaching aims to support clients in improving their overall well-being—physically, emotionally, and spiritually—through personalized guidance, accountability, and holistic practices. 1. Service Description Individual wellness coaching is a collaborative, client-centered service that focuses on achieving personal health and wellness goals. Coaching may include, but is not limited to: Goal setting and lifestyle planning Nutrition and physical wellness guidance Stress and time management techniques Spiritual and emotional wellness support Motivation, accountability, and habit-building strategies Note: Wellness coaching is not a substitute for clinical therapy, medical advice, or psychiatric treatment. 2. Eligibility Services are available to individuals ages 16 and up. Clients under 18 require parent/guardian consent. Wellness coaching is open to the general public and does not require a diagnosis or referral. 3. Duration & Format Sessions are typically 45–60 minutes, conducted weekly or biweekly, based on the client’s needs. Sessions may be delivered in-person, via phone, or through secure virtual platforms. 4. Scheduling & Attendance Appointments must be scheduled in advance. A 24-hour notice is required for cancellations or rescheduling. No-shows or late cancellations (less than 24 hours) may be charged a fee or result in loss of that session in prepaid packages. 5. Payment & Packages Coaching sessions may be purchased individually or as part of a 3-month or 6-month package. Payment is due prior to or at the time of service, unless a payment plan has been established. Refunds are not available once services are rendered. 6. Confidentiality All sessions are confidential and conducted in accordance with privacy laws and organizational policies. Information disclosed during sessions will not be shared without written consent, except in cases where there is a duty to warn/protect. 7. Client Responsibilities Clients are expected to: Actively participate in sessions. Be honest about their challenges and progress. Complete any agreed-upon tasks or exercises between sessions.
